The Do’s and Don’ts of Planning an Outdoor Event

Whether it’s the relaxed backyard environment or simply feeling closer to nature, there’s something special about an outdoor event. When planning an outdoor party, remember that there are a few more considerations as the great outdoors sometimes has a mind of its own. We’ve created a list of reminders, do’s and don’ts, to help you plan for a wonderful event that won’t be ruined by a few storm clouds.

Do plan for bad weather. Of course, we’d love if every outdoor event could come equipped with perfect weather, but unfortunately that’s something we can’t control. Create a backup plan for if the weather won’t cooperate that keeps your guests safe and comfortable. A tent or indoor option could be the perfect solution. Before choosing your venue, learn when the decision has to be made for implementing this backup plan, so you have an understanding of what changes will take place.

Don’t time your outdoor event to begin when the sun is at it’s strongest. Overheated guests won’t be in a party mood, so we recommend shifting the timing to work around the warmest time of day. If you can’t avoid it, we advise providing fans and shade. A fun option could be to share fun warm weather treats, like popsicles or ice cream, for the guests to enjoy.

Do have fun with the menu and activities! If you are looking for a casual event, passed hors devours is a great option to keep guests mingling and yard games can be set out for guests of all ages to play and enjoy themselves. For more formal events, creative lighting and decor can help set the stage for an elegant dinner under the stars.

Don’t forget about power, transportation, and restrooms. Check to see whether your outdoor space has access to power and bathrooms for your guests. Depending on your location, you may need to rent a generator or a bathroom trailer. Find out what the parking options are and determine whether transportation will need to be provided.

Do provide heat or cooling relief. No matter how much you love the outdoors, your guests will probably want a few ways to escape the heat or even warm up if the weather gets chilly. With unpredictable weather, create shady, cool spaces and provide water for your guests to help them cool off. Conversely, if the temperature may dip into cooler zones, consider providing warm blankets or heaters to keep guests toasty and comfortable.

Don’t overlook sun and bug protection. If planning an event during the warm summer months, include a basket with sunblock wipes, as well as bug spray, where guests can easily find them. If bugs could potentially be an issue due to the temperature or time of year, consider having your site sprayed by an exterminator beforehand or placing citronella candles throughout the space.
